Administrative Assistant- San Francisco, CA

Accounting Principal is looking for an Administrative Assistant for one of our clients in San Francisco, CA. The Administrative Assistant works directly with the Deputy Head of Lending Strategy providing administrative support to run the department efficiently. Our Ideal Candidate has the ability to prioritize workload and adapt to rapidly changing priorities, also has the ability to solve problems and pay close attention to detail.


  • Directly supports the Deputy Head of SF and the Overall department as needed
  • Maintains invoices files and various documents and ensures invoices are reviewed and approved by management and kept electronically organized
  • Prepares memos, letters, and other documents/reports for internal and external distribution as requested and provides clerical support including scanning, filing and indezxing
  • Arranges internal and external meetings and conference calls
  • Owns supply ordering, package shipping, mail distribution, printer paper stocking, and courier requests
  • Assists with onboarding new department employees, including collaborating closely with HR, Facilities, IT, etc. to ensure new employees are set up for immediate success
  • Coordinates the onboarding and off boarding of professional services consultants
  • Supports department record management and retention
  • Coordinates floor safety
  • Supports the planning and execution of all team events and off-site meetings
  • Assists with floor seating plan and any move or logistical arrangement
  • Assist in various other duties and special projects as they arise
  • Manages department Collaborate and SharePoint site as well as Teams channels
  • Qualifications & Skills:

  • Bachelor’s degree or related work experience
  • Minimum of two years of experience as an Administrative Assistant for a large team
  • Experience or the desire to develop skills in project management
  • Banking or lending knowledge preferred
  • Experience using Outlook and MS Office
  • Ability to work effectively with vendors and colleagues at all levels
  • Strong interpersonal and organizational skills, including ability to work independently and meet deadlines
  • Proactive problem-solving skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong attention to detail
  • Desire to help people
  • Excellent written and verbal communication skills
  • Technical expertise with Zoom, PowerPoint, Smartsheet, MS Office Word, Excel, and Teams
