Requirements of this Accounting Specialist / Admin include:

  • Process monthly bank statement reconciliations 
  • Respond in a professional and timely manner to all accounting correspondence, including accounts receivable and departmental inquiries regarding payment status of invoices
  • Monitor receipt of monthly checks against budget and to deposit in a timely manner
  • Make bank deposits and book journal entries
  • Prepare monthly and quarterly billings for tenants
  • Balance tenant receivables monthly
  • Book monthly management fees 
  • Obtain W-9 data from vendors to prepare annual 1099 forms and transmittals
  • Maintain schedule detailing cash in-flows and out-flows so that cash fundings
  • Prepare quarterly billings
  • Recognize general ledger
  • Balance accounts and make journal entries in general ledger.
  • Create and track invoices monthly for all accounts receivables
  • Code accounts payable and to enter data into system
  • Mail and file processed accounts payable checks
  • Review accounts payable entries
  • Admin such as collating and updating legal entity binders, lease agreements, and other legal documents
  • Answer the telephone and to provide backup voicemail support 
  • Monitor and refill the postage meter and to handle renewals
  • Set-up for weekly morning meetings; get snacks, make coffee, and setup the conference room for meeting attendees
  • Maintain the vacation schedule of corp office
  • Receive and route guest comment cards
  • Coordinate incoming and outgoing delivery of mail
  • Manage, oversee and schedule of different crews
  • Distribute and copy, if necessary, incoming faxes
  • Minimum requirements:

  • 2+ years of accounting experience
  • Bachelors degree not required but preferred
  • Excellent communication skills, both intently and toward customers and clients
  • No job too small mentality
  • Ability to multitask and work in a fast paced professional environment
