Job Description:

This person serves as support to the day-to-day operations lead(s), providing assistance in managing client projects moving through the agency. Working in support of an Account Executive and/or Account Supervisor, they are tasked with providing administrative and internal project management duties to ensure agency processes are upheld and timelines are met.

  • Provide administrative duties including coordination of client meeting materials and resources
  • Deliver on assigned tasks to assist the completion of a project’s internal process
  • Provide administrative support to overall Brand Management team
  • Foster positive, productive day-to-day Account team relationships to facilitate effective/efficient flow of work
  • Provide support in structuring client presentations, tracking documents and accounting tracking systems
  • Provide secondary support in proofreading critical documentation before client presentations
  • Schedule collaborative meetings between internal teams 
  • Coordinate meetings/presentations with clients and agency staff; attend as necessary
  • Review project deliverables against established Brand Standards and Media Specifications for confirmation of deployment
  • Manage internal Brand Management documents (e.g. Master Client
    Contacts/Birthdays/Anniversaries) and coordination of distributing client gifts
  • Provide research and information gathering support for client or agency needs 
  • Provide detailed but concise note-taking for key meetings, to be used by Brand lead(s) for internal and external communication 

Qualifications: 

  • Minimum 6 months to 1 year of relevant work experience; agency experience is ideal but not required
  • Exceptional time management, attention to detail, proofreading and organizational skills
  • Ability to work independently and collaboratively
  • Ability to function well in a fast-paced environment under tight deadlines
  • Multitask and efficiently manage multiple projects simultaneously
  • Apply active listening skills to build mutual understanding
  • Communicate in a strong and concise manner, both in writing and verbally
  • BA/BS degree in marketing, communications or a related field is preferred

Job Type: Full-time 

Pay Rate: $20 - $25 (BOE)
